Client Calls and Visits¶
Conference calls are typically held bi-weekly. These generally use the client's online conferencing tool and conference call dial in number. Teams can obtain a free Webex account that will (currently) provide up to 3 connections on a given conference. For these, we will use the Design Lab's conference phone number.
Teams - It is YOUR responsibility to schedule all your calls / visits, not your Project Engineer's. Have your Project Engineer make the entries to this list for your calls.
Project Engineers - Please add EACH call or visit separately. Please keep the list sorted by date and add a blank line between months to help keep it organized.
Instructions for Making Webex Based Conference Meetings¶
Use the "Schedule" button within your Webex team space to bring up Outlook. Add your client(s) names/emails to get your meetings on their calendar. Note that this method REQUIRES Outlook - check within your team to see who has it installed.
Plan B - determine your meeting info, then send that to your client through some other means - BUT - that will not place you on their calendar, meaning you could run into a schedule issue. Please ask your client to manually add it to their calendar as they probably are not used to doing this within their company.
Instructions for Making Conference Calls¶
- This document provides the instructions for using the conference phone bridge ( Telephone_Conference_Procedures_for_Participants.docx ). You can email your client a copy of this. Your Project Engineer or Chief Engineer can initiate the call for you with their moderator passcode.
- This page has How to Hold a Conference Call. The information also applies to in person client visits. It can be used as a checklist to ensure that the meeting goes smoothly.
- In general, use a PowerPoint presentation to guide the conference call/visit as both are meetings. Information on making a strong set of slides can be found on the Creating Strong PowerPoint Presentations page.
Telephone Numbers¶
The numbers for the phone jacks in the Design Lab are: back table: (518) 276-8758, east (ramp) side: - x8757, west (stair) side - x2499, Project Engineer's office (JEC2027) - x2733.
For the east & west locations you need to get the portable speaker phone. The portable speakerphone is normally in Junichi's office in the lab.

Visitor Parking¶
Clients can park in the Visitor's Parking Lot (the lot between the Union and the Armory) on 15th Street. Students should see Valerie to get a parking pass and arrange to meet the visitor at the parking area to give them the pass. Valerie Masterson can be reach at (518) 276-2724.
